Case Study
How Vsynergize Supports a Leading U.S. Lifeline Service Provider at Scale
- USA
- Energy & Utility
- Outbound Calling
- Compliance
- Live Transfer
The Challenge
Generating energy leads in the US market requires more than high-volume calling. Campaigns need to balance lead quality, customer engagement, sales performance, and strict compliance requirements.
For a USA energy and utility campaign, Vsynergize built an end-to-end outbound telecalling operation designed to identify eligible prospects, qualify their interest, secure the required consent, and connect sales-ready customers through a compliant live-transfer process.
The operation brought together recruitment, domain training, outbound calling, data management, technology, quality assurance, and continuous optimization under one structured delivery model.

The Vsynergize Approach
Rather than treating lead generation and live transfers as separate activities, we designed the campaign as a connected workflow. Every stage—from the first call to the final transfer—was supported by defined processes, compliance checks, and performance monitoring.
1. Identifying and Qualifying the Right Prospects
The first priority was to make sure agents were speaking with prospects who met the campaign's eligibility requirements.
Agents worked with scrubbed prospect lists and followed a structured qualification process covering:
- Residential or business customer type
- Location within eligible deregulated energy states
- DNC and opt-out status
- Availability of the bill payer or decision-maker
- Customer interest and eligibility
2. Turning Interest Into Sales-Ready Transfers
Once a customer expressed interest, the process moved into the live-transfer stage.
Before transferring the call, agents reconfirmed the customer's interest and completed the required disclosure. The customer was then connected to the TPV (Third-Party Verification) system or verification representative.
Instead of making a cold handoff, agents used a warm transfer approach. They provided relevant customer context and introduced the prospect before exiting the call.
The verification stage confirmed key details such as:
- Utility information
- Customer consent
- Identity and eligibility
- Bill payer or decision-maker status
- Required compliance responses
If the verification desk was unavailable or a customer dropped from the call, agents followed defined callback and disposition procedures.
Building the Team Behind the Campaign
A successful outbound campaign starts with the right people. Vsynergize created a recruitment and training process specifically aligned with the communication, sales, and compliance requirements of the US energy market.

3. Hiring Agents for US Outbound Sales
We prioritized candidates with experience in:
- US outbound BPO campaigns
- Sales and telecalling
- Energy or utility processes
- Customer qualification and objection handling
Candidates went through language and communication assessments, mock energy-sales calls, objection-handling exercises, and process knowledge evaluations.
Compliance awareness was also considered during screening, particularly around DNC requirements and customer consent.
The focus was simple: hire agents who could communicate confidently with US customers while understanding the importance of compliant calling.
4. Training Before Production
Agents completed structured classroom or virtual training before entering live operations.
Training covered three core areas:
Domain Knowledge
Agents learned how deregulated energy markets work, how energy switching works, what customers typically want to know, and which objections they are likely to encounter.
Compliance
Training covered relevant calling requirements, including TCPA guidelines, federal and state DNC considerations, consent requirements, and the campaign's specific disclosure procedures.
Systems & Sales Skills
Agents were trained on the dialer, CRM, dispositioning, TPV procedures, customer engagement, active listening, objection handling, and escalation processes.
This ensured agents understood not just what to say, but why each step mattered.
5. Controlled On-the-Job Training
Classroom training was followed by a controlled OJT phase.
New agents:
- Shadowed experienced agents
- Practiced mock calls with trainers and QA
- Took a limited number of live calls
- Received shift-level coaching
- Worked on identified gaps before moving into full production
QA and Operations jointly reviewed agent readiness before certification.
This approach reduced the risk of putting underprepared agents directly into a high-volume campaign.
Managing the Live Operation
6. Production Built Around US Time Zones
Once agents were certified, Vsynergize aligned production with the campaign's target US markets and time zones, including EST, CST, and PST.
Calling lists were uploaded and managed through the dialer, while agents used different dialing modes based on campaign requirements:
- Predictive dialing for high-volume outreach
- Auto-dialing for balanced calling workflows
- Manual dialing for specific callbacks and targeted follow-ups
The standard call flow moved from introduction and qualification to the sales pitch, consent, and TPV transfer.
Agents also used structured dispositions such as Interested, Not Interested, Call Back, and DNC Request to keep campaign data accurate.
Supervisors and second-voice support were available for escalations and situations requiring additional assistance.
7. Keeping Calling Data Clean and Compliant
Data quality plays a major role in outbound performance. Poor-quality or outdated lists can reduce contact rates while increasing compliance risk.
Vsynergize established recurring data management processes covering:
- DNC list scrubbing
- State-level segmentation
- Residential and business segmentation
- Data refresh cycles
- Contact attempt rules
- Callback and recycling logic
Calling data was reviewed and refreshed regularly to reduce unnecessary repeat attempts and help agents spend more time on viable prospects.
Clean data meant better targeting, better reachability, and a more controlled outbound operation.
Technology That Supports Every Call
8. Connecting Dialer, CRM and Compliance
The campaign was supported by an integrated technology environment designed to give Operations and management visibility into day-to-day performance.
The setup included:
- Angel Tel dialer infrastructure
- CRM integration with platforms such as Salesforce, Zoho, or custom systems
- 100% call recording for quality and compliance review
- Real-time productivity and KPI dashboards
- DNC and compliance controls
- Time-zone restrictions
This allowed managers to monitor activity, track lead movement, review calls, and identify operational issues without waiting for end-of-day reports.
Technology was used to support the agents—not replace them. Automation handled repetitive controls and data workflows while agents focused on conversations, qualification, and customer engagement.
Quality Control at Every Stage
9. Continuous Call Audits and QA
Quality assurance was built into the operation rather than treated as a final checkpoint.
QA teams regularly reviewed calls against campaign-specific criteria, including:
- Opening and introduction
- Required disclosures
- Customer engagement
- Qualification accuracy
- Consent handling
- Transfer procedures
- Overall communication quality
Findings were documented through scorecards and shared with Operations and the client.
When recurring issues were identified, the feedback went back into agent coaching and refresher training. Internal QA teams were also reviewed through audit-the-auditor checks to maintain consistency in evaluation.
The objective was to catch issues early, correct them quickly, and prevent the same problems from becoming recurring operational gaps.
Improving Performance Over Time
10. Continuous Optimization
The campaign did not stop evolving after go-live.
Vsynergize used regular Operations, QA, and client reviews to identify opportunities for improvement. Weekly calibrations helped teams align on call quality and customer handling, while refresher training addressed compliance updates, product changes, and recurring performance gaps.
Key performance indicators included:
- Contact or reachability rate
- Interested-customer transfer rate
- Conversion rate
- Compliance performance
- Calls per hour
- Sales per agent
- Quality scores
When performance changed unexpectedly, teams used root-cause analysis to understand why.
Was the issue related to data quality? Agent performance? Customer objections? Calling patterns? Process design?
Instead of simply reacting to the numbers, the team used those insights to adjust training, workflows, data strategies, and operational practices.
The Outcome
The result was a structured outbound telecalling operation capable of managing the full lead journey—from prospecting and qualification to consent, warm transfer, verification, and ongoing quality improvement.
By bringing people, process, technology, data, and QA together, Vsynergize created a delivery model built around three priorities:
Qualified leads. Compliant conversations. Consistent execution.
The model also provided the flexibility to refine calling strategies, scale operations, and respond to changing campaign requirements without rebuilding the process from the ground up.
